Documentation Officer / Assistant

Responsibilities:

  • To produce bills of lading on timely manner and ensure zero defects.
  • To ensure timely submission of documents (i.e. freight manifest, cargo manifest, invoices etc.).
  • To handle any documentation inquiry from internal customer.
  • To validate shipping instruction before proceed to produce in system.



Requirements:

  • Candidate must possess at least a Diploma / Bachelor's Degree in any field.
  • Preferable candidate with relevant documentation experience. Fresh graduates applicants are encouraged to apply.
  • Customer oriented, meticulous and well organized.
  • Able to work independently with minimum supervision in a highly dynamic environment.
  • Able to work beyond normal working hours and on public holidays.
  • Knowledge of Special Asian language i.e. Japanese and Korean (both written and oral) will be an added advantage.

Responsibilities:

  • Responsible for coordinating with all departments to ensure documents are kept at right place in the right department's archive.
  • Ensure all corporate documents are checked and submitted on time.
  • Edit documents with typographical errors and other types of errors that may lead to the disqualification of a document.
  • Performs regular audit on corporate documents to ensure that all documents are properly submitted to other departments.
  • Responsible for file validation and document controlling.
  • Ensure all files submitted are approved by the superior in charge.

Responsibilities
  • Oversees the overall operation of the Information & Document Control Centre which includes the development, revision, review, approval, distribution, maintenance and control of document and data which relate to Air Asia’s Quality Management System
  • Review documents for adequacy and coordinate approvals prior to use
  • Revise and update documents as and when necessary and ensure that changes and the current revision status are identified
  • Ensure that relevant versions of applicable documents are available at points of use, remain legible and readily identifiable
  • Ensure that required controlled documents that obsolete copies are promptly removed, replaced and invalidated or destroyed
  • Ad hoc assignments



Requirements
  • Must possess a recognized Bachelor’s Degree in any field of study
  • 3 years working experience as a Document Controller or Technical Writer in a quality department
  •  Possess personal traits: friendly, mature, humble, honest, meticulous; self-starter; able to perform under pressure in a challenging environment
  • Proficient in oral and written English
  • Excellent computer skills and proficient in excel, word, outlook, and access

Document Controller

Responsibilities:
  • Management of incoming/outgoing correspondence
  • Distribution of project correspondence within the project team
  • Issue receive documentation to Integrated Project Management Team (IPMT), subcontractors and 3rd parties
  • Maintenance and ongoing folder structure development in Project filing system
  • Support project teams in ensuring the smooth running of screening and approvals process in terms of document issue
  • Working with Project Manager to co-ordinate the issue/approval release of documentation
  • Produce reports when needed of latest documents/drawings issued to the Client 
Requirements:
  • Proficient in MS Office Applications such as Word, Excel, Powerpoint and others
  • Experience in storing and registering high volumes of documents in electronic and hard copy format
  • Confidence to track and chase documentation as required to meet deadlines
  • Excellent attention to detail in terms of document preparation ensuring and checking that all required non-technical information is included on documents prior to uploading onto the clients system
  • Work as part of a team to provide administrative support to project teams in respect of the generation, storage and transmittal of different types of documentation
  • Experience of working in web based document systems
  • Extremely organised and structured in approach of tasks
  • Able to work to tight deadlines
  • Under the supervision and direction of the Project Control Manager work to ensure the generation of high quality project documentation.
  • Experience in engineering or construction background is an added advantage
